Privacy Policy Update

We have updated our Privacy Policy to reflect changes in the data collection process. The following updates have been made:

  1. User Data Collection:

    • CTB now collects additional user information, including Username, Display Name, and Profile Picture URL (hosted by Discord). These details are considered public information and are collected to improve the bot’s functionality.

  2. App Information for Edit Feature:

    • When using the /new-app form, CTB collects the following information to support the edit feature:

      • App Title

      • App Description

      • Google Group Link

      • Web Test Link

      • Promo Code Link (optional)

  3. Legacy Compatibility:

    • For channels created before the introduction of the /edit feature and the new data collection, this feature remains functional. We have ensured this by pre-populating the database with the necessary information for those channels.

Thank you for using CTB (Closed Testing Bot). Your privacy is important to us. This policy explains what data we collect, how we use it, and your rights regarding that data.

CTB collects the following data:

User Information

  • User ID

  • Username

  • Display Name

  • Profile Picture URL (hosted by Discord)

App Information (collected via the /new-app form):

  • App Title

  • App Description

  • Google Group Link

  • Web Test Link

  • Link to the Promo Codes (optional)

Other Data

  • Channel IDs: For channels created by the bot.

  • Points Data: The number of points users have earned.

  • App Usage Data: Records of who installed specific apps.

  • Feedback Data: Records of who left feedback on specific apps.

The user information listed above is considered public information, as it is accessible via Discord's API.

2. Purpose of Data Collection

The data collected is used to ensure the bot’s functionality, including:

  • Creating and managing channels.

  • Supporting the "Grades" feature, which tracks points, app installations, and feedback submissions.

  • Managing app-related data for the edit feature, allowing users to create and update app information.

3. Data Sharing

The data collected by CTB is not shared with any third parties, except for the moderators of the Discord server where the bot is installed.

4. Data Retention

CTB does not automatically delete user data after a set period. However, users may request the deletion of their data at any time.

5. User Rights

Data Access: Users can request details about the data CTB holds about them.

Data Deletion: Users may request the deletion of all data collected about them by contacting the bot owner.

Opt-Out: Users can avoid data collection by not interacting with the bot. Note that user information, as stated in the data collection section, may still be collected due to the bot's operation.

6. Hosting

CTB is hosted on a third-party hosting service. While we take reasonable precautions to protect your data, we cannot guarantee absolute security due to the nature of third-party hosting.
